We are currently seeking an Event & Office Manager (maternity cover, 18 months) to help us revolutionise how the world views talent, today and into the future.

In this dynamic environment, the Event & Office Manager will play a pivotal role in shaping the future success of our company.
The role
Overview:
As Events & Office Manager, you’ll be essential in ensuring seamless, high-impact experiences that enhance Alva’s brand presence, customer engagement, and business growth. Reporting directly to the Head of Marketing, you will have significant influence on the marketing plan and campaigns, using events strategically to support the buyer journey—from brand awareness to retention. Acting as a production manager, you’ll coordinate across teams to ensure everyone meets their deadlines and keeps projects on track. Supported by our Content Creator, who will handle themes, topics, and campaign materials, you’ll focus on delivering exceptional events and optimising the in-office experience. This role requires strong project management, time management, and customer experience skills.
Areas of Responsibility

Event Planning & Execution
Lead and execute Marketing and Partnership events: Handle all logistics, including booking venues, arranging food and travel, and managing on-site setup.
Coordinate the guest journey: Own the attendee experience from sign-up to thank-you emails, ensuring a smooth and memorable journey.
Serve as the main contact for speakers and guests: Facilitate clear communication and ensure top-notch hospitality.
Maintain event inventories: Oversee event merchandise and supplies, ensuring all necessary items are ready and available.
Event “Tech Wizard”: Manage technical needs such as audio, screen sharing, and streaming to ensure seamless tech functionality.
Provide support for marketing promotion: Assist with landing pages, invitations, and HubSpot tasks to optimise event outreach and engagement.

Production Management & Strategic Coordination
Act as the production manager: Coordinate with all involved teams, keeping everyone on schedule with deadlines to maintain timelines for each event.
Participate in campaign planning: Collaborate with the Marketing team to align events with broader campaign objectives.
Leverage content support: Work closely with the Content Creator to ensure all themes and materials align with event and campaign goals.
Strategically position events: Use events to support all stages of the buyer journey, influencing brand awareness, lead generation, and customer retention.
Track and report event outcomes: Measure and report on key metrics, including attendee satisfaction and ARR (Annual Recurring Revenue) influenced by events.

Office Management & In-Office Experiences
Manage and enhance the office environment: Create an exceptional experience during Townhalls, Friday Celebrations, and other key company gatherings.
Be the go-to for office needs: Respond to requests from the wider team and coordinate with external vendors to maintain a smooth office operation.
Order and set up office amenities: Manage inventories and ensure weekly office breakfasts are arranged.
Inventory management: Maintain supplies for both the office and upcoming events, ensuring everything is in stock and ready.
Create a welcoming workspace: Foster a lovable and productive environment, encouraging in-office attendance.

Internal Event Management
Plan and coordinate internal events: Own the organisation of internal events, from scheduling to execution, ensuring each one meets the team’s expectations.
Support the Party Planning Committee: Work closely with team members to plan memorable internal gatherings that promote a positive work culture.
Key Success Metrics
Your KPIs will focus on these areas:
Event satisfaction: Positive feedback from attendees (internal and external events).
Office attendance & satisfaction: Drive increased in-office attendance and deliver an experience that exceeds remote work.
Influenced revenue: Demonstrate how events impact sales and revenue goals, from meetings booked to deals closed.
Timeline adherence: Ensure smooth project coordination. Keep projects on schedule, ensuring deadlines are met.

We offer an individual compensation & benefits package, where you can adjust the setup based on your personal preferences, where the starting point is a base salary above average, 30 days of vacation, pension, and a few other neat perks.
We offer a flexible working setup where we spend at least 3 days at our office in central Stockholm per week.
